07 · Business health

One number, out of 100, for how the business is tracking today.

It is not a survey and there is nothing to fill in. The score is read live from work that is already in the app: invoices you have sent, booking money, licences, equipment, requests waiting on you and how the team is feeling. Open it and it is already right.

Only owners and managers can see it.

1. Where to find it

Where to find it in the app

  • Use it: the Business health card on your dashboard, then Full report
  • There is no menu item for it. The dashboard card is the way in, and it shows the same score as the full page.

2. How the number is worked out

The app scores a handful of areas. Each area is green, amber or red, and each colour is worth a fixed number of points:

Colour Means Worth
Green Nothing needed 100
Amber Worth a look 65
Red Deal with it today 30

Your score is the average of the areas you track. Four green areas and one amber is 93. Two amber is 86.

The headline colour is your worst area, not the average. One expired licence reads Action required even when everything else is perfect. That is on purpose: an average is exactly the wrong way to report the one thing that matters.

Only the tools you have switched on are counted. An area belonging to a module you do not use never appears and never drags the score. Turning a module off is not a way to raise your score either, because the area simply stops existing rather than counting as green.

3. The areas, and exactly what changes them

Money

Needs Invoicing or Payments.

  • Amber when an invoice you have sent is past its due date. The line names how many and the total.
  • Amber when a booking balance is due and has not been collected.
  • Green otherwise. If balances are coming but none are due yet, it says so rather than claiming there is nothing outstanding.

When is a booking balance due? It follows how you collect it, set in Settings → Payments, under Collecting the balance:

How you collect it The balance is due
Auto, days before on the day the card is charged, using your own Days before to charge
Auto, on the day on the day of the booking
I'll charge it (one-click) on the day your own terms say, and on the day of the booking if you have not set one

This is the same date the app uses to decide when to email a customer about an outstanding balance, so the score and the chase can never disagree about when money is late.

A balance that is not due yet is not a problem. If you take a deposit and collect the rest two days before, every future booking in your diary is part paid, all the time. That is the business working, not a fault, so it does not mark you down. It also means that when Money does go amber over a balance, it is worth looking at: usually a card that did not go through.

Compliance

Needs Licences & certificates.

  • Red when a licence or certificate has expired.
  • Amber when one expires within 30 days.
  • Green when everything is current.

Only current staff are counted.

Maintenance

Needs Equipment or Safety.

Counts open maintenance issues plus equipment overdue for a service, together.

  • Green when there are none.
  • Amber at one to four.
  • Red at five or more.

Only your own equipment counts. If you record your customers' vehicles, pools or units on the register, theirs are never counted here. Somebody else's car falling due for a service says nothing about how your business is running, and a busy workshop would sit red on a number it could never clear. Those still reach you in your morning email, with the customer's name on the line, because that is a reason to ring them. Equipment you have marked retired, lost, in storage or in for repair is not counted either: it cannot be serviced, so being "overdue" would not mean anything.

Approvals

Needs Shift requests.

  • Amber while any request is waiting on a manager.
  • Green when nothing is waiting on you.

Team

Needs Team happiness.

Uses the average of this week's pulse check-ins, or last week's if nobody has checked in yet this week.

  • Red below 3 out of 5.
  • Amber below 3.8.
  • Green at 3.8 and above, and also when nobody has checked in recently. No answers is not bad news, it is no news.

Nothing older than last week is used. A quiet fortnight in March does not follow you into August.

4. What is deliberately not scored

An area only belongs in the score if it can be either fine or wrong, and if you can actually put it right. Two things fail that test.

Your shopping list. A list with seven things on it is a list doing its job. Scoring it marked you down for keeping the list the app asked you to keep, and the only way to clear it was to delete it. It is still on your dashboard and still in the reminders digest, it just does not move the number.

Money that is not owed yet, as above.

5. Lift your score

Under the score is Lift your score: every area that is not green, biggest first, with the points you would gain by clearing it and a link straight to the screen the work is on. Clear all of them and the score is 100 by definition.

If everything is green the section is replaced with a plain all clear.

6. The trend

The score is recorded once a day, so the page can show:

  • a line of the last few weeks,
  • the change against roughly a week ago, and
  • highest in N days when you have just beaten your own record.

Today's point on the line is always the live score, so the line always ends where the big number sits.

Changing something the score counts steps the line where the change landed, and the week-on-week figure can read as a jump nobody earned. It settles within a week as the daily record catches up. History is never rewritten.

7. Common questions

My score dropped and I did not do anything. Something in one of the areas changed on its own: an invoice passed its due date overnight, a certificate crossed the 30 day mark, or a piece of equipment came due for a service. Open the full page, the area that moved names it.

Can I hide an area I do not care about? Turn its module off in Settings → Modules and the area disappears from the score. If you want the tool but not the scoring, tell us, that is a fair ask and not something you can set today.

Is my score visible to my staff? No. Owners and managers only.

Does anything outside my business see it? Only our support team, on the same read-only basis as everything else needed to help you. Nothing is published and nothing is compared against other businesses.
