Module · Team comms
Where to find it in the app
- Use it: Team → Announcements & chat
- Turn it on/off: your business name (top-left) → Settings → Modules → Team → Announcements & chat
Plan: Solo and Business · Module group: Your team · Navigation:
Team → Announcements & chat(plus Team chat and Handover)
1. Overview
Purpose. Keep team communication in one place instead of scattered group chats. Team comms has three parts:
- Announcements, noticeboard posts with read-acknowledgement tracking.
- Team chat, channels for everyday conversation.
- Handover, dated shift-to-shift notes.
2. When to use it
- For must-read notices you want acknowledged (policy change, roster note).
- For casual team chat by topic.
- To pass information between shifts.
3. Required permissions
- Read announcements (
comms.view). - Post announcements (
comms.post).
4. Navigation path
Team → Announcements & chat, with Team chat and Handover alongside.
5. What you'll see
- Announcements: a list of posts (title, body, optional category), with who's read each one; unread posts show in the notifications bell.
- Team chat: channels (e.g. #general, plus your own like #parties) with a message box.
- Handover: a date with Today navigation and notes for that day.
- Comms settings: manage your chat channels.
6. Turning it on
Settings → Modules → Your team → Team comms. A welcome announcement is
seeded for new businesses.
7. Step-by-step tasks
7a. Post an announcement
- Open
Team → Announcements & chatand compose a post. - Add a title, body and optional category, then post.
- Staff read it and it's tracked; you can see who has read it.
7b. Read / acknowledge an announcement (staff)
- Open the announcement. Reading it records your read, clearing it from your unread count.
- When the poster ticked Require acknowledgement while composing, opening it also counts as your acknowledgement: it clears the "needs your acknowledgement" banner and drops the post out of the Action needed filter. Posts without that tick are just tracked as read.
7c. Use team chat
- Open Team chat, pick a channel, and message the team.
- Add channels in Comms settings (e.g. #parties, #kitchen).
7d. Leave a handover note
- Open Handover (defaults to today).
- Add a note for the next shift (e.g. "Fryer 2 booked for service; party room set up for the 10am.").
8. Examples
- Beginner: post "New opening hours from Monday" as an announcement so everyone acknowledges it.
- Real-world (café): a #kitchen chat channel for prep chat, plus a daily handover note between AM and PM shifts.
- Advanced (venue): category-tag announcements (Safety, Roster, General) and track read-acknowledgement on the must-read ones.
9. Reports & exports
Read-acknowledgement per announcement is visible to posters; unread items roll up into the notifications bell. Chat and handover are living records, not exports.
10. Common mistakes
- Using chat for must-read notices, use an announcement so you get acknowledgement tracking.
- Too many channels, keep them few and purposeful.
- Handover on the wrong date, check the date selector (it defaults to today).
11. Troubleshooting
| Problem | Fix |
|---|---|
| Staff didn't see a notice | Post it as an announcement (tracked) rather than a chat message. |
| Can't post announcements | You need Post announcements. |
| A channel is missing | Add it in Comms settings. |
| Unread badge won't clear | Open the announcement to acknowledge it. |
12. Error messages
Posting and messaging confirm inline. Announcements you post show their read-acknowledgement state rather than raising errors.
